How FlyPoint became a co-organiser of the IRON WARRIORS veterans’ team’s trip to Oceanman Lago d’Orta 2026

On 13–14 June, an international open-water swim took place on Lake Orta in Italy Oceanman Lake Orta. Nearly 1,400 athletes from 64 countries took part in the competition. The Ukrainian team of veterans with severe injuries and amputations competed in the overall standings IRON WARRIORS Swim Team.

All five team members crossed the finish line, secured podium places in their respective categories and qualified for the Oceanman World Final!

For a travel concierge service FlyPoint This project goes beyond the traditional booking of tickets or hotels. We have taken the lead a full co-organiser of the initiative, taking charge of negotiations with the international organising committee, securing support from partners, and arranging specialised, accessible logistics.

Results of the Ukrainian veterans’ swim

All members of the IRON WARRIORS Swimteam successfully completed their races, set personal bests and qualified for the final:

Team member History and career in sport Distance Official time A prize-winning place

FlyPoint’s contribution: negotiations and barrier-free logistics

Organising a trip for a team of athletes with amputations requires careful attention to the details that affect their safety and physical comfort whilst travelling.

1. Agreement on slots

FlyPoint has taken charge of direct communication with the Oceanman International Organising Committee. Following negotiations, the tournament organisers have provided Ukrainian veterans with free starting slots (tickets) to take part in the swim.

2. Accessibility audit and accommodation stock

A basic hotel search does not guarantee true inclusivity. When selecting accommodation, the FlyPoint team manually checked the following:

  • the width of the doorways in the rooms and bathrooms;
  • the absence of high thresholds and steps on the way to communal areas;
  • the provision of handrails and adapted shower cubicles for wheelchair users.

3. Specialised air transit

Arrangements for the team’s flight had been agreed in advance with the airlines and airports:

  • special procedural support during boarding and disembarkation;
  • Terms and conditions for the free transport of mobility aids, wheelchairs and prosthetics.

Organisers, partners and mission

As well as achieving sporting results, the team’s participation in the swim was intended to draw attention to the initiative “The Faces of Heroes”, a project focusing on reconstructive surgery and the rehabilitation of servicemen’s faces following injuries.

The project was carried out thanks to the collaboration of several organisations and businesses:

  • Organisers: BF YANKO Fund (comprehensive sports rehabilitation for veterans), IRON WARRIORS SPORT HUB and a tourist concierge service FlyPoint (co-organisation and travel logistics).
  • Main partners: Oschadbank and Mastercard, and an international IT company OBRIO.
  • Training partners: Heabit, TYR, K-Team
  • Media partners: United24, ELLE, 1+1, Hromadske, Ukrinform
  • International support: Organising Committee Oceanman (provision of free slots).

FAQ: Frequently asked questions about logistics for passengers with reduced mobility

How do I go about booking airport assistance for a passenger in a wheelchair?

The exact deadlines depend on your airline’s policies, but in most cases, you must book the Special Assistance service at least 48 hours before departure. When contacting the airline or travel agent, it is important to specify the dimensions, weight and type of the wheelchair’s battery. The airport assistance service, from check-in to boarding, is free of charge.

How can I check whether a hotel is accessible to wheelchair users before booking?

The descriptions on the website are often insufficient, especially when it comes to smaller resorts. That is why it is worth checking the exact measurements (either yourself on site or by asking partners or hotel staff). The width of doorways (which must be at least 80 cm), the absence of thresholds, the presence of handrails in the bathroom, the dimensions of the lift and the height of the bed.

What are the rules for transporting wheelchairs and prosthetic limbs on a plane?

Mobility aids are carried by airlines free of charge in addition to the standard baggage allowance. If the wheelchair is electrically powered, you must provide the technical specifications of the battery (dry, gel or lithium-ion) in advance to obtain permission for carriage. Each airline has its own requirements for the carriage of wheelchairs – it is worth checking in advance.

We Let’s make travelling easy and enjoyable for you

Cases our clients

Tailor-made tours — turnkey logistics

We work with agencies that create bespoke tours and take care of the entire journey for the customer. We plan the itinerary from the city of departure to the tour destination and back: flights, ground transport, connections and support. Clients enjoy a comfortable experience from the very start of their journey, whilst the agency does not have to spend resources on transport arrangements.

Two customers from different towns — one flight

We needed to bring together two clients from different cities in Ukraine for a joint flight from Warsaw in the utmost comfort. We chose a direct train, booked an entire compartment for the two of them, and organised a transfer to an intermediate station for one of the passengers. The clients met whilst travelling and made it to their flight with plenty of time to spare.

A business trip with the families and a working meeting

The company’s executives were on holiday with their families, but during the trip they needed to attend a business meeting at short notice. We quickly rearranged the itineraries, secured tickets for all participants and maintained the overall flow of the trip.
The work plans have been completed, and the families’ holidays have not been disrupted.

Oceanman — a trip for Ukrainian veterans

A group of Ukrainian veterans and their companions were due to travel to the Oceanman international swim.
We organised all the logistics: the train from Kyiv, transfers, flight tickets and the hotel. We also arranged with the organisers for veterans to take part in the swim free of charge.

A client’s first flight — itinerary + support whilst travelling

It was the client’s first time flying, and she required full support for her journey from Kyiv: train + flight.
We planned a convenient itinerary and allowed for a 6-hour layover in Budapest — the customer was able to take a stroll through the city centre. We explained how to find her way around the city, which transport to use and how to buy a travel pass. When her flight was delayed at the airport, we explained how the meal voucher worked and helped her find her way to the gate. The client felt confident at every stage of her journey.

Corporate travel

We organised a corporate break in Italy (Puglia) for over 50 of the company’s employees. The participants flew into different airports but stayed at the same hotel. We organised all the transfers (meet and greet, transport to the hotel, return transfers). Everything was planned down to the last detail.

Unaccompanied children

During the war, in 2022, we helped 11 children travel to the US and Canada to be reunited with their parents. The children flew under the airline’s supervision. The difficulty lay in the fact that not all airlines allow a child to board without a letter of authorisation from their parents. We found an airline, arranged the itinerary and monitored the flight from check-in right through to the child being handed over to their parents.

Snowfall in Istanbul

In February 2023, more than 240 flights were cancelled due to snowfall. During this period, 10 customers found themselves in a situation in Istanbul. We monitored the flights, reacted quickly and rebooked passengers onto alternative flights — everyone arrived with minimal stress.

The “Star Time Camp” in Spain

A transfer service was organised for over 150 children from various countries (including Ukraine). The itinerary included a train journey, a private coach and a flight. Particular attention was paid to border crossing procedures, visa requirements and escort services. Individual itineraries were put together for children from other countries. We were in constant contact with our parents.

Retreat in Paro (Bhutan)

A complex flight to Bhutan was organised for a group of nine participants. We arranged itineraries for passengers from various countries to Delhi, where the group met up and flew on together to Paro. Business-class tickets were purchased and a VIP meet-and-greet was arranged at the transit point in Delhi to ensure a swift passage through security.
